Reservations, bookings and cancellations, disclaimer and legal notices
For organizers:

The minimum group size including the seminar leader is eight people. Exceptions are possible by arrangement. From 15 participants (not including organizers or team members), all overnight stays and meals are free for one person. From 20 participants, a second person is exempt from all costs.

Block periods of time
You can initially block several free periods for a planned event. This often happens if, for example, the exact date with the participants cannot yet be set. In the event of inquiries from other organizers for one of the periods you have blocked, we will first consult with you. After a deadline, which is determined by agreement with Hof Kuppen and the blocking and requesting organizers, the period must be reserved or unblocked by you.
Reservations
By making a reservation, you release all other previously blocked periods for your event and they will be made available to other organizers. Periods reserved by you can no longer be requested by other organizers.
Binding bookings
- We have suspended the conditions for binding bookings until May 2022! Of course, we guarantee that your reservation will be received even without a deposit! -
From May 2022: A binding booking is only made when a deposit of € 50.00 has been transferred to our account. This should happen no later than twelve weeks before the start of the event. If the deposit is paid later, we can no longer guarantee that the reservation will be received and that it will be converted into a binding booking.

For participants:
Participation in seminars at Hof Kuppen does not oblige you to reserve or book accommodation and meals at Hof Kuppen. However, we ask for your understanding that we are only allowed to offer meals to overnight guests.
If you would like to reserve or book accommodation and meals at Hof Kuppen, the organizer should have already confirmed your participation. There is no review on our part. We do not have any information on free spaces in seminars from external organizers, so we cannot register for you with external organizers.
Reservations of accommodation and meals
You can reserve your accommodation and meals free of charge up to twelve weeks before the start of the event in person, by telephone or by email. Especially for first reservations, we ask for an e-mail with the contact details required for the reservation (name, address, telephone number).
Binding bookings
- We have suspended the conditions for binding bookings until May 2022! Of course, we guarantee that your reservation will be received even without a deposit! -
From May 2022: A binding booking must be made from twelve weeks before the start of the event by transferring a deposit of € 50.00 per overnight guest to our account. If we cannot find any receipt of payment after this free reservation period has expired, we can no longer guarantee receipt of the reservation. If you book less than twelve weeks before the start of the event, the deposit is due immediately.
Participation in events without accommodation and meals
Unfortunately, we are only allowed to provide meals to overnight guests. If the rent for the conference room is passed on to the participants by the organizers, day guests also pay the corresponding share. We charge an additional € 5.00 per guest per day for teas, coffee, cakes and the use of the sanitary areas.
Privacy
By making reservations and / or booking accommodation, meals and / or event rooms, you agree to our data protection provisions. Reservations and / or bookings are not possible without this consent, because of the statutory retention requirements for your invoice data.
Payment methods
Deposits must be made by bank transfer to our account. All other costs can be paid in cash on site. Unfortunately, a card payment is not possible with us.
Cancellation of bookings
- We have suspended the conditions for cancellations before the start of the event until May 2022!
If events (that have started) have to be stopped before their end due to the pandemic, the remaining amount will be reimbursed. The canceled period will not be charged. -
From May 2022: Reservations and bookings can be canceled free of charge up to twelve weeks before the start of the event. Deposits paid by then will be reimbursed within one week.
In the event of cancellations less than twelve weeks before the start of the event, advance payments made will not be refunded in some cases. A maximum of € 50.00 will be withheld per person who cancels. Any further advance payments made will be reimbursed within one week.
From 01.01.2022: In the event of early departure for personal reasons, 50% of the overnight stay and 75% of the meals for the remaining booking period will be charged. This also applies to a late arrival, unless otherwise agreed with Hof Kuppen.
If a serious illness or the death of a seminar leader or participant leads to a cancellation, all deposits will be reimbursed, regardless of when the cancellation was received - even if we are not legally obliged to do so.
Disclaimer of liability
Work and exhibition objects or other, including personal objects that are brought along are at the risk of the organizer and each guest in the event rooms, in the seminar building and in the main building. Hof Kuppen assumes no liability for loss, destruction or damage, not even for financial loss, except in the case of gross negligence or intent on the part of Hof Kuppen. This does not include damage resulting from injury to life, limb or health.
Hof Kuppen's liability is particularly excluded if objects carried along are left in the unlocked rooms. We offer to keep valuables in our office, which remains locked during unoccupied periods. But here, too, we cannot assume any liability for theft, e.g. through a break-in.
There are sources of danger on our farm and in the immediate vicinity that are common on a former farm. There is an unsecured pond on our premises. If you are staying with us as a person subject to supervision with children, persons with physical or mental disabilities or with physically or mentally ill persons, please be sure to observe this. We are not liable for damage resulting from a breach of the duty of supervision. All community members, employees and freelance workers on the farm are excluded from the duty of supervision.
